Video conferencing in a small room

A small video conferencing room is characterized by a maximum capacity of 5 people and is therefore really intended for team and project meetings, for example. These are often somewhat smaller, compact rooms that are equipped with modern and comfortable furniture. The space is therefore sometimes called a focus space. Meetings in these rooms are therefore often meetings that are not long and are intended, for example, to quickly go over the past or coming day.

Because of the compact composition of the small meeting room, it often happens that the meeting table is placed close to or even against the existing (touch) screen or that people have chosen a table which uses the full width of the room.

In such setups, it is therefore necessary to choose a camera with a wider viewing angle, i.e. a viewing angle of 120 degrees. This wide viewing angle captures every participant well, regardless of whether that person is sitting close to the screen or at the far end of a wide conference table. Please note that the farthest participant should be at most 4 meters from the screen. We recommend going for an all-in-one videoconferencing hardware, which means choosing a device with a camera (120 degrees viewing angle) and integrated audio (sound-out and microphones). In this way, the meeting table itself is also kept "clean".

Below you can see a number of examples of situations in which videoconferencing is used in a small (meeting) room. You can also see what this room looks like and how it can be arranged. If you would like to know how to set up the room in terms of cables, you can look at: Logitech MeetUp and BYOD (Bring Your Own Device) setup. Or the Logitech MeetUp with Logitech Tap meeting room controller.

Equipment needed for a small video conferencing room

You'll need a 55-inch monitor or projector, a computer or laptop, a video calling program like Zoom or Microsoft Teams, and a conferencing camera with a built-in microphone and speaker. Optional Logitech Tap Teams or Logitech Tap Zoom base would give an even better video conferencing experience with room solutions.

Optional products to connect

Use the Logitech Screen share, which allows you to quickly and easily share content with any computer in the conference room.

With the Barco Clickshare C5, users can easily share what is on their laptop or mobile device on the presentation screen. The wireless presentation system is specially designed for spontaneous collaboration in huddle spaces.

Advice from our experts

The MeetUp meeting camera provides a great meeting experience with a120° field of view so everyone in the room can be seen. The camera has a pan/tilt lens, has multiple HD resolutions up to 4K Ultra HD, has 3 camera presets and has integrated audio optimized for team spaces. Three beamforming microphones and a custom-tuned speaker ensure that everyone can be seen and heard.

As alternatives to the Meetup, the Jabra Panacast, Konftell CC200, Polycom Studio and the Polycam Studio VX30 can be used. The Panacast is a 180° panoramic 4K plug & play video solution.
